Hello!

My name is Pam and I am new to the forum (just joined today!!).

I am having a very frustrating issue that I hope somebody can help me with.
When I use the multilevel bullet list:
1.
1.1.
1.1.1

The spacing between the bullet and my text is not consistent. This drives me absolutely mad! I have attempted (and failed) to stylize my own bullet list, but would love any help you can give on how to make the spacing the same!

I've attached an image to show what I am referring to. The red line shows the spacing...

Hi Pam,

Any chance you could send me your document so I could have a look at it and see what is going on? Thanks!

Hi Pam,

First of all, what you are showing me is a numbered list; not a bullet list. Bulleted lists and numbered lists are two separate things in MS Word. Having said that, you can adjust the spacing in both of them.

1. Click one of the bullets or numbers to select the entire list.

2. Right-click one of the highlighted bullets or numbers, and then choose [b:1x7dmosp]Adjust List Indents[/b:1x7dmosp]. The Adjust List Indents dialog box opens.

3. Change the [b:1x7dmosp]values [/b:1x7dmosp]in the boxes to adjust the [b:1x7dmosp]alignment[/b:1x7dmosp].

[b:1x7dmosp]Bullet or number position [/b:1x7dmosp]- Enter the position where you want the selected number or bullet.

[b:1x7dmosp]Text indent [/b:1x7dmosp]- Enter the position where you want the text to line up.

[b:1x7dmosp]Follow number with [/b:1x7dmosp]- Enter the amount of space between the selected numbers or bullets and text: Tab character with specified distance between selected numbers or bullets and text, Space for a single space between the selected numbers or bullets and text, or Nothing for no space between the selected numbers or bullets and text.

I hope this is helpful to you. If you continue to experience difficulty, please let me know.

Hello Carol!

Thank you so much for the replies! I will try this right away and let you know how it goes!

Okay, I must be doing some step wrong... I've attempted to attach the document (both as a .docx and a .doc) but wasn't allowed to do so. Instead I've uploaded another image....

Hi Pam,

An image will not show me what is at play in your document. Please e-mail me the document at my e-mail address. Thanks!

Pam sent me her document and I attempted to change her spacing to no avail. Then I discovered that the multilevel list had not been properly formatted to begin with. The steps below must be followed to set up your multilevel list and then you should be able to adjust your indentation.

Follow the steps below to set up a new Multilevel numbering list.

When you define a new Multilevel List, define ALL levels at one time. Do not set up a new list style for each level because it will not work.

Open a new document.

On the [b:2bho71r5]Home [/b:2bho71r5]tab, go to the [b:2bho71r5]Paragraph [/b:2bho71r5]group.

Click the small drop-down arrow next to the [b:2bho71r5]Multilevel List [/b:2bho71r5]icon.

On the [b:2bho71r5]Define New List Style [/b:2bho71r5]window, give the style for the entire list a name, such as [b:2bho71r5]Numbered List[/b:2bho71r5].

By default, you are working on the 1st level. Set the [b:2bho71r5]font[/b:2bho71r5], [b:2bho71r5]font size [/b:2bho71r5]and font [b:2bho71r5]weight [/b:2bho71r5]for the 1st level numbers.

Please note that these font settings are for your numbers only and not for the paragraph style. So if you want bold your numbers, set that here. You can ignore everything else on this window for the moment.

Click [b:2bho71r5]Format [/b:2bho71r5]at the bottom left of the window and then click [b:2bho71r5]Numbering [/b:2bho71r5]to open the [b:2bho71r5]Modify Multilevel List [/b:2bho71r5]window.

Click the [b:2bho71r5]More [/b:2bho71r5]button at the bottom left of the [b:2bho71r5]Modify Multilevel List [/b:2bho71r5]window to display all options.

Level 1 is already set, but if you do not want a parentheses, you will need to delete the parentheses and key in a period. [b:2bho71r5]Do Not [/b:2bho71r5]touch the gray shaded 1.

Assign a style to this level - in this example you will assign the standard Word style of[b:2bho71r5] List Number [/b:2bho71r5]in the [b:2bho71r5]Link level to style[/b:2bho71r5] field. You can modify this style using the [b:2bho71r5]Styles [/b:2bho71r5]pane later on.

Click [b:2bho71r5]OK [/b:2bho71r5]to return to the [b:2bho71r5]Define New List [/b:2bho71r5]Style window. [b:2bho71r5]DO NOT [/b:2bho71r5]close the window as you now need to set up the 2nd and 3rd levels for your list.

Select [b:2bho71r5]2nd level [/b:2bho71r5]fromt he [b:2bho71r5]Apply formatting to [/b:2bho71r5]drop-down list.

Set the font, font size and weight for the 2nd level numbers.

Click [b:2bho71r5]Format [/b:2bho71r5]at the bottom of the left of this window, then click [b:2bho71r5]Numbering [/b:2bho71r5]to open the [b:2bho71r5]Modify Multilevel List [/b:2bho71r5]window.

Select [b:2bho71r5]2 [/b:2bho71r5]in the [b:2bho71r5]Click level to modify [/b:2bho71r5]list.

The default Number style for this level is a, b, c.

Using the drop-down list, change this to [b:2bho71r5]1, 2, 3[/b:2bho71r5].

Remove the ) from the 1 in the [b:2bho71r5]Enter formatting [/b:2bho71r5]field.

Place your cursor in [b:2bho71r5]FRONT [/b:2bho71r5]of the grayed 1 in the [b:2bho71r5]Enter Formatting [/b:2bho71r5]field.

Select [b:2bho71r5]Level 1[/b:2bho71r5] from the [b:2bho71r5]Include level number from [/b:2bho71r5]drop-down list. You now have two grayed 1's. [b:2bho71r5]PLEASE NOTE [/b:2bho71r5]this level 1 selection you just made does [b:2bho71r5]NOT [/b:2bho71r5]display in the field. You will know you got it right if another grayed 1 is added to the Enter formatting field.

Type a [b:2bho71r5]period [/b:2bho71r5]between the two grayed 1's in the [b:2bho71r5]enter formatting [/b:2bho71r5]field.

Select the [b:2bho71r5]List Number 2[/b:2bho71r5] style fromt he drop-down list in the [b:2bho71r5]Link level to style [/b:2bho71r5]field.

Click [b:2bho71r5]OK [/b:2bho71r5]to return to the [b:2bho71r5]Define New List Style [/b:2bho71r5]window. Do not close it.

Now select [b:2bho71r5]3rd level [/b:2bho71r5]from the [b:2bho71r5]Apply formatting to [/b:2bho71r5]drop-down list.

Set the [b:2bho71r5]font[/b:2bho71r5], [b:2bho71r5]font size [/b:2bho71r5]and [b:2bho71r5]weight [/b:2bho71r5]for the 3rd level numbers.

Click [b:2bho71r5]Format [/b:2bho71r5]at the bottom left of the window and then click [b:2bho71r5]Numbering [/b:2bho71r5]to open the [b:2bho71r5]Modify Multilevel List [/b:2bho71r5]window.

Select [b:2bho71r5]3 [/b:2bho71r5]in the [b:2bho71r5]Click Level to modify [/b:2bho71r5]list.

The default Number style for this level is i, ii, iii. Using the drop-down list, change this to [b:2bho71r5]1, 2, 3[/b:2bho71r5].

Remove the [b:2bho71r5]) [/b:2bho71r5]from after the 1 int he [b:2bho71r5]Enter formatting [/b:2bho71r5]field.

Place your cursor in [b:2bho71r5]FRONT [/b:2bho71r5]of the grayed 1 in the [b:2bho71r5]Enter formatting [/b:2bho71r5]field.

Select [b:2bho71r5]Level 1[/b:2bho71r5] from the [b:2bho71r5]Include level number [/b:2bho71r5]from drop-down list. You should now have two grayed 1's in the [b:2bho71r5]Enter formatting [/b:2bho71r5]field.

Select [b:2bho71r5]Level 2 [/b:2bho71r5]from the[b:2bho71r5] Include level number [/b:2bho71r5]from drop-down list. You now have three grayed 1's in the [b:2bho71r5]Enter formatting [/b:2bho71r5]field. The first is the Level 1 number, the second is the Level 2 number, and the third is the Level 2 number.

Type a [b:2bho71r5]period [/b:2bho71r5]between each of the grayed 1's so that it looks like [b:2bho71r5]1.1.1[/b:2bho71r5].

Select the [b:2bho71r5]List Number 3[/b:2bho71r5] style from the drop-down list in the [b:2bho71r5]Link level to [/b:2bho71r5]style field.

Click [b:2bho71r5]OK [/b:2bho71r5]to return to the previous window where you should see your three levels listed, with the numbering styles you set up previously.

Click [b:2bho71r5]OK [/b:2bho71r5][again to close the window and return to your document, where a first level numbered item is added to your document.

You have now finished the first and most difficult part of setting up your multilevel list.

Does Microsoft make it easy for you? Absolutely not!

You can now test your new multilevel list by opening the [b:2bho71r5]Styles [/b:2bho71r5]pane and clicking the [b:2bho71r5]Manage Styles [/b:2bho71r5]button.

Go to the [b:2bho71r5]Recommend [/b:2bho71r5]tab (version 2007).

Scroll down and select [b:2bho71r5]List Number[/b:2bho71r5], [b:2bho71r5]List Number 2[/b:2bho71r5] and [b:2bho71r5]List Number 3[/b:2bho71r5].

Click [b:2bho71r5]Show [/b:2bho71r5]and [b:2bho71r5]OK[/b:2bho71r5]. The List Number, List Number 2 and List Number 3 styles should show in your Styles pane.

Enter several paragraphs of text.

Apply [b:2bho71r5]List Number[/b:2bho71r5], [b:2bho71r5]List Number 2[/b:2bho71r5] and [b:2bho71r5]List Number 3[/b:2bho71r5] styles to various paragraphs.

To change the formatting for your numbered paragraphs, such as [b:2bho71r5]indents[/b:2bho71r5], use the [b:2bho71r5]Styles [/b:2bho71r5]pane and modify each style to your liking.

To change any aspect of the [b:2bho71r5]Numbered List[/b:2bho71r5] style (the master style with the three levels that you set up earlier) click the [b:2bho71r5]Manage Styles [/b:2bho71r5]button on the [b:2bho71r5]Styles [/b:2bho71r5]pane, go to the [b:2bho71r5]Edit [/b:2bho71r5]tab, select the [b:2bho71r5]Numbered List[/b:2bho71r5] style and click [b:2bho71r5]Modify[/b:2bho71r5].

To change the numbering format for a single multilevel list style: Place your cursor into a multilevel list numbered paragraph, click the small drop-down arrow next to the [b:2bho71r5]Multilevel List [/b:2bho71r5]icon on your [b:2bho71r5]Home [/b:2bho71r5]tab, select [b:2bho71r5]Define New Multilevel List[/b:2bho71r5], then change the [b:2bho71r5]Number [/b:2bho71r5]style for this level setting.

So there you have it. You have to go around your elbow to get tol your bottom to set up your multilevel list and change your indents.

I really do hope this has been helpful to you and I am sorry that Microsoft has made it so difficult to achieve!

It should be pretty much the same Shoba but may vary a bit. Go ahead and try it and if you have problems, let me know and I will do my best to assist you.
